The Executive Assistant is responsible for providing support to the CEO to ensure maximum productivity. This position is responsible for completing a wide range of administrative tasks and maintaining general office functions at ICMEC’s headquarters in Alexandria, Virginia. This position will also serve as the primary point of contact for the building.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provide calendar management for the CEO. Including scheduling to ensure smooth day-to-day engagements
Handling travel arrangements and hotel accommodations for the CEO
Supporting the CEO including note taking during meetings
Assisting with the planning and execution of meetings and events: Both internal and external
Maintaining an organized and clean office environment, including taking care of the kitchen and other shared office space along with the Director of Human Resources
Communicating with co-workers, management and others in a courteous and professional manner
Promoting and exhibiting loyalty to ICMEC’s mission
Promoting a professional image
Conforming with and abiding by all regulations, policies, work procedures, and instructions
Performing other duties as assigned
EDUCATION AND EXPERIENCE:
Must speak Spanish
KNOWLEDGE, SKILLS, AND ABILITIES:
Expertise with Google Suite
Excellent oral and written communication skills
Demonstrated ability to identify and solve problems
Ability to prioritize, successfully complete multiple tasks with attention to detail, and meet deadlines
Demonstrated ability and willingness to coordinate and regularly communicate with staff including leadership and Board as needed
Ability to handle and maintain integrity and confidentiality of highly sensitive material and information
